• Proactively conduct, manage, and execute all day-to-day administrative functions for the office of the Deputy Adjutant General of Tennessee; to include meeting the needs of both Military & Civilian C-Suite level Executives and Directors• Hold a Federal Security Clearance (Secret) with access to sensitive DoD information management systems• Supervise and approve weekly payable time and leave requests for twelve TN State employees (Manager level)• Review and approve travel authorizations and payout vouchers for twelve TN State employees (Manager Level)• Create, manage, track, and receive all TN SmartShop P5 purchase orders for all office supplies and Guard event expenses • Maintain and utilize State of TN credit card ($20,000 limit) to purchase any/all Office expenditures; Reconcile monthly • Ensure all incoming/outgoing documents are properly formatted and proofed before routing; maintain a 99% accuracy rate• Work closely with Accounting and Payroll Depts. to ensure all office expenses and Employee time is managed accurately• Coordinate with multiple Federal, State, Local, and Veteran event organizers to provide all pertinent information and logistical support for promotion, retirement, Change of Command, Yellow Ribbon, and Guard for Life events• Manage fleet of State-owned vehicles. Ensure seasonal maintenance, fuel, wash and detailing to a very high standard• Receive, process, and relay all incoming/outgoing office correspondence to include Governor and Congressional inquiries• Interact daily with top ranking National Guard Leadership to include 3 Major Generals, 2 Brigadier Generals, multiple Colonels and Lieutenant Colonels; maintain and enjoy a robust professional and personal rapport with all.Pursues everything with energy, drive, and a need to finish in order to achieve resultsFollows through on commitments, and instills confidence that all words and actions are the truthMakes customers and their needs a primary focus.
