1. Provide proposals to potential clients when requested. Continue to develop and maintain all proposal documents and language. Strategically assign new work to Spectrum Analysts. 2. Track all incoming investor work, which Analyst has been assigned each job, and the report completion date. Make sure each client gets the correct report format. On a daily basis review the log to make sure all deadlines will be met and to asses if staffing assignments require adjustment. 3. At the beginning of each month use Google Docs and Crystal Reports to ‘close out’ the prior month for billing purposes. Use QuickBooks to create 200+ client invoices. 4. On a periodic basis, review any aged receivables and work with the client to resolve.5. On a quarterly basis create a summary of billable work for each Spectrum Analyst. Suggest adjustments as needed to maintain an appropriate workload and balance for each Analyst and the group overall. 6. Work on developing improved Spectrum reporting elements. This includes cover letters; investor reports; pre approval reports; and other materials provided to clients at completion of our review. Work with staff, clients, and software developer to improve existing reports and implement updated features. 7. Periodic maintenance of database to include compacting; making remotes; synching remotes; ensuring reliable daily backups are being made; working with staff, software developer, and IT to resolve bugs as they arise. 8. Provide ongoing support to all clients and staff as needed via phone, email, office meetings.9. Work with phone/internet vendor to upgrade our service and eliminate problems with unreliable connectivity. Train staff to use new headsets and features.10. As time allows, examine company spending. Look for areas of improvement & savings.11. Weekly conference calls with clients to review status of large volume of work. 12. Work with software developer on software updates, testing, deployment.
