Support for the Chief Executive and Governors • actively manage various aspects, including diary, travel arrangements, meetings, preparation of documents, team communication, and expense management.• Confidentiality and Representation - handling confidential information discreetly and securely. • Staff Record Management: Managing DBS applications and monitoring renewals for all staff.Communication• Document Production: Creating various documents on behalf of the Chief Executive, such as PowerPoint presentations and letters.• Email Management: Monitoring relevant mailboxes, following up on incoming email items, and prioritising appropriately.• Confidential internal and external Correspondence. Dealing with confidential correspondence and documents. Ensuring professional, timely, and accurate execution of letters, minutes, and reports.Meeting and Events• Meeting Organisation - schedule and coordinate both internal and external meetings. This included creating meeting agendas, distributing relevant paperwork, booking suitable meeting rooms, and arranging catering as necessary.• Senior Management Team Meetings - arrange and document Senior Management Team Meetings and other meetings as needed, ensuring that all necessary preparations are made.• Event Coordination: Arrange and coordinate events originating from the Chief Executive's office. This encompasses various events, such as dinners, presentations to the Lord Mayor, Away Days, and other ad hoc events throughout the year, ensuring that all logistical and organisational aspects are well-managed.
