I provided a wide range of administrative services for a number of executives during my tenure here. I was responsible for maintaining hectic calendars, travel (domestic & international), expenses and managing the confidential personnel records of our team/s. I also maintained and updated reports weekly, monthly and quarterly. Worked on special projects (some excel, powerpoint & database) as deemed necessary.

During my tenure here, I efficiently supported the GM Team, Interiors Studio, two Architectural Studios, the MEP and Structural Studios. I represented the Project Managers and Associate Partners as the “first line’ of communication and provide information directly to external clients and business contacts as required. I was responsible for efficient maintenance of most correspondence for the studio, all travel arrangements for the members of the studio, completing expense reports, coordinating conference and videoconference calls, managing the calendars, preparing PowerPoint presentations and special events for the studio. I’ve coordinated and set up monthly Project Managers Training Seminars, monthly Project Managers Workload Projection Report and accurate maintainenance of the Submittal Log. As required, I ordered, set up and served refreshments and/or meals.

I provided secretarial support in various capacities throughout the Chicago Office. During my tenure there, I held positions in the field, engineering department, mechanical/electrical engineering department, safety department, estimating department, management department and also as back up in our sales/marketing department. I was responsible for the efficient and accurate maintenance of all incoming & outgoing correspondence. Handled all incoming phone calls. Responsible for accurate maintenance of the supply inventories for specific jobsite. Also responsible for accurate logging and updating of the COI Log. I was also responsible for efficient handling of the calendars and travel arrangements for the executives that I supported.
