I was responsible for the retention of confidential information relating to patients. I participated in the general maintenance of the Dermatology Medical Records library such as digitally tracking notes to file, locating miss-filed notes with the Go-Find gun and archiving deceased casenotes. This role allowed me to gain knowledge of the Health Records Act, the Data Protection Act, familiarise myself with patient management systems and become aware of patient waiting time targets. I also learnt how to create a medical record and where the different types of information should be filed within the casenotes. I was responsible for meeting deadlines while retrieving patient casenotes for the purpose of clinics, emergency admissions and audits while entering data into a number of systems on eRecord to assist me. The job required good organisational skills due to frequent interruptions from telephone requests for casenotes.My achievement in this role was working in a small team to transfer our Medical Records library from the old numeric filing system via the MRN to the new system where records are scanned to a ducket within the shelving and assigned with an RFID tag using iFIT Live, replacing HIM Tracking. The new process ensured all records had the ability to be picked up on readers around the Trust, making maximum use of resources, resulting in timeliness access to casenotes when required for patient care.My experience led to me training new members of staff, guiding them through the processes, delegating duties and offering feedback. I was given the task of showing a new member of staff how to do the secretarial morning and afternoon trolley run; a role which I had done alongside my medical records trolley run until the department recruited a replacement. -
