Full PA function to the CEO and Head of Investment Banking and his team; including but not limited to:• Providing full administrative support to CEO as well as to the Head of Investment Banking and the Corporate Finance team ensuring a smooth running operation• Diary management across global time zones• Taking dictation and general typing• Organising extensive travel itineraries both local and international, meetings, conference calls etc• Arranging visa’s and forex… Show more Full PA function to the CEO and Head of Investment Banking and his team; including but not limited to:• Providing full administrative support to CEO as well as to the Head of Investment Banking and the Corporate Finance team ensuring a smooth running operation• Diary management across global time zones• Taking dictation and general typing• Organising extensive travel itineraries both local and international, meetings, conference calls etc• Arranging visa’s and forex, transfers, car hire or chauffeur drive and accommodation• Processing and reconciliation of expenses• Administrative support (filing, leave schedules, etc)• Assistance to all senior sector team visitors whilst in South Africa including transport, accommodation and meetings• Arrange events and conferences by arranging for facilities and caterer, issuing information and invitations, coordinating speakers and controlling event budget• Attending the events / conferences as back up support and to meet and greet clients• Sourcing and purchasing gifts for clients• Collating meeting packs, board reports and presentations for executive management and board meetings• Prepare and distribute agenda’s for board meetings and management meetings• Type and distribute minutes for board meetings and management meetings• Building good working relationships with clients and their PA's• Cultivating good working relationships with the internal PA's both here and overseas and assisting them where necessary• Arranging office access and meeting room bookings for external clients• Arranging access into Investment Banking as well as computer access and desk space for visiting colleagues• Assisting with power point presentations using the UBS power point templates• Printing and binding of all client presentations for meetings• Arranging client lunches and dinners either at our premises or at a venue.
