Personnel Assistant/Receptionist

Stena Line is one of Europe’s leading ferry companies originally founded in Sweden. During my time as their receptionist and HR support role, I was responsible for:• Acting as Personal Assistant to the Head of Human Resources, responsible for meetings, diary and travel management. Capturing meeting minutes and ensuring follow up and chasing of outstanding actions for the next meeting. • Summer Recruitment – I adopted a secondary role during the summer recruitment period due to the recruitment advisor taking unexpected leave. I had single-handedly screened over 200 CVs, carried out telephone interviews and booked face-to-face interviews for a variety of ports/vessels and provided feedback to unsuccessful applicants.• Office Management – I was specifically required to ensure that the office was consistently stocked of the necessary supplies such as paper, printer cartridges etc. I also handled invoices from our gas and electricity suppliers, as well as both the rent from the council and landlords. This allowed the HR and Manning staff to best perform their duties, as I kept the office running behind the scenes as efficiently as possible.• Suppliers – I handled supplier request forms for Stena Line’s electronic invoicing system and submitted the invoices they sent in for payment. I also dealt with coding the invoices that were relevant to the Glasgow office itself.• Contract Catering – I ensured that we had lunch brought in on meeting days and made sure to make myself aware of any food allergies/intolerances/preferences. I also dealt with teas and coffees for our visitors.• Receptionist Work – I took calls that came into the office and dealt with other general receptionist work such as ensuring all letters were delivered to the post office, uploading seafarer documents to our systems and preparing meeting rooms for visitors. I also booked travel for seafarers and other visitors to the office.
