- Dealing with incoming calls and transferring to relevant departments.- Maintaining telephone records – extensions and mobile numbers. - Ensuring customers are proactively kept up to date regarding any outstanding Helpdesk orders and queries. - Ensuring that any 4 hour jobs raised are closely monitored through to completion. - Following the Helpdesk procedures for tracking maintenance requests, chasing contractors for information and relaying back to the customer using appropriate methods of communication. - Appropriately escalating any issues where contractors have failed to respond within reasonable timescales. - Endeavour to ensure that the call abandoned rate is within the set SLA. - All emails being dealt with under 24 hours, where necessary communicating a holding response where an action has not yet been taken. - Endeavour to ensure all client calls are answered within the set SLA. - Promptly answering any incoming calls to the Helpdesk with the specified salutation. - Accurately logging customer service requests onto the database.- Assigning work priorities in line with the customer’s maintenance matrix.- Assigning pre-determined contractor to works requests in line with the customers’ requirements. - Taking ownership of Helpdesk enquiries assigned to me and ensuring that issues are resolved in a timely manner. - Ensuring all Helpdesk job notes are updated with all progress made and a clear audit trail is visible to all other users - Working towards and maintaining targets set in order to achieve the best results for the business
