Executive Assistant
CurrentThe Executive Assistant (EA) supports the overall effectiveness and efficiency of Forterra by directing executive administrative functions to ensure consistency, coverage of essential obligations, and prioritization/scoping/resourcing of necessary work flow. The EA manages scheduling for members of the Executive Leadership Team. The EA ensures administrative functions are met organization-wide.*Schedule and prioritize meetings and phone calls with internal and external contacts. Coordinate with internal departments to ensure effectiveness, including but not limited to: outreach/engagement and speaking opportunities, transaction negotiations, and donor/investor stewardship and solicitations.*Oversee coordination of logistics for meetings/events: such as travel, lodging, facilities, IT resources, and catering for in-house and off-site meetings as needed.*Oversee preparation, collection, compilation and distribution of materials, as needed for meetings and calls.*Brief executives on meetings, priorities, logistics for the week.*Enter new contact information in contact management software.*Monitor e-mail and other communications preparing draft communications/responses, as necessary.*Work to build a team that is positive, service-oriented, cooperative and proactive in its delivery of administrative support to the organization.*Support with document management and internal approval processes, including processing and filing agreements and other paperwork.*Support other organizational and administrative efforts within the larger Forterra organization as needed.
