• Generate and post monthly invoices for approximately 18 lawyers, processing on average 250 invoices per month, using PCLaw.• Ensure that billing identification and HST/Tax requirements are followed as per Law Society guidelines and Canada Revenue Agency requirements.• Track final monthly and annual billings; provide monthly reports to all equity and income partners, and COO.• Provide monthly Work-In-Progress reports to legal assistants and working lawyers to determine monthly billings.• Perform routine collections calls and emails for delinquent accounts; form collection strategies to mitigate customer objections to making timely payments (negotiating payment instalment plans, courtesy discounts, etc., as consented to by working lawyer).• Provides assistance with trust accounting duties, including: inputting receipts into ledgers of client trust accounts, as well as posting disbursements from said accounts relating to payment of client invoices based on client directions; depositing and preparing cheques for previously mentioned receipts and disbursements from trust accounts; reviewing and reconciling statements provided to clients for trust accounts for CAD mixed trust, USD mixed trust, and CAD Investment accounts; possesses working knowledge of Law Society trust guidelines. • Respond to all client billing inquiries, provide monthly reminder notices to clients, and keep detailed notes of these communications on client files.• Process and post all invoice payments and prepare daily bank deposits; provide daily ‘Payments Received’ report to all equity and income partners. • Process payments from trust accounts against accounts receivable files.• Conducted the processes, from start to finish, of filing delinquent accounts through Small Claims Court.• Completed filing for Assessment Hearings at the Toronto Superior Court of Justice for two larger claims; accompanied both Preliminary Assessment Hearings with the working lawyer on the file.
Billing And Accounting Assistant
• Responsible for billings, and direct follow-up with contractors to collect overpayments.• Produce weekly preliminary invoices (i.e. live summaries) to reduce collection time; developed a comprehensive Excel template to track and monitor all expenses, as well as verify and reconcile all payments.• Streamlined invoicing by instituting tracking processes for work orders, billing rates, project changes, for over150 employees.• Established bi-monthly approval deadlines to ensure that all preliminary invoices were observed and approved by the client within 5 business days after issuance. Successfully mitigated risk of incorrect payments to contractors with the added benefit of stopping payment on timesheets with errors.• Issue hourly employee payroll for up to 400 contractors affiliated with a large oil and gas company.• Accountable for processing weekly payroll service, including vacation and bonus pay accruals, time and labour attendance, commissions and incentive plans and other related remittances and reconciliations.• Revised and updated contractor timesheets to improve overall tracking of time worked and associatedexpenses. Integrated placement notes within each contractor’s profile to indicate exact start and enddates, thus notifying payroll administration team on when to cease contractor payments.• Produce monthly margin report to illustrate profit and loss to senior management in both Canada and U.S.• Conduct extensive account reconciliation to ensure that no services or work remain unbilled; collaborate with Accounting Manager to ensure all unbilled hours are addressed effectively in the preliminary invoice.
