• Ensure all reservation enquires are professionally and promptly handled and that there is no loss of business • Conduct training to existing and new agents in the team to maintain and improve reservation selling skills• Handle and resolve guest issues in a positive manner to protect company revenue and result in Guest satisfaction • Develop and maintain the department schedule whereby there is appropriate coverage to handle reservation calls, minimising loss of calls, and ensuring a high level of conversion into bookings • Set and amend selling strategies across all channels, and segments as directed by the direct report as applicable per property level• Run reports as required by Hotel and company standards; assist the Director of Revenue Management or other direct report, to maintain, make change in the Reservation/Property Management/Revenue Management system (if applicable) at property level as required• Maintain administration procedures, as per company and Hotel standards; this includes all reservations and requests are confirmed within 24 hours, no show charges are validated and sent to Finance for posting, filing system is maintained, and new ones set up; fax machine is checked, and correspondence is placed in the applicable place(s)• Conduct annual reviews, recommend appropriate succession plan for Colleagues development to ensure the sustainability of the reservation department; provide the suggestion for improvement, and identify barriers to its success, and ways to overcome these• Monitor and report results of any incentive programs in place; responsible to make sure integrity of the program is maintained, and that all requirements are followed

• Provide personalized service to ensure all reservations requirements are handled professionally, accurately, and in a timely manner.• Handle multiple property reservation calls, faxes, and emails when necessary to provide optimal customer service while speaking in the appropriate brand voice.• Maintain accuracy of group blocks including cut-off date, room pick up, room type, suite blocks, rates etc.• Ensure accurate billing set-up for prompt and accurate processing. Identify, block and process staff and VIP and comp room reservations with each group.• Set up and maintain master file for each group with pertinent information, including but not limited to approved changes applied to the group and documented conversations with clients, convention service managers and sales manager.• Monitor group pick up, cut-off dates, rate, and room type availability to maximize hotel revenues and client/guest satisfaction.• Ensure that blocks entered are consistent with pattern for group and that room type blocks flow for duration of the block.• Coordinate all group activity and information, including processing of reservations, rooming lists, advance deposits, and group information sheet to necessary departments.• Review rooming lists for accuracy of information, format, and billing requirements. Identify, process and block rooms for staff and VIP lists as necessary Block special request reservations and suites required.• Serve as liaison with the accounting department to ensure all billing requests are configured and executed as necessary.• Communicate effectively and in a timely manner to internal Revenue Management and Sales teams any information received that could impact the performance of each group.

• Check the no show record as well as pending reservation• Check the VIP arrival, special requests and check traces to action• Check the system on reservations for next two weeks and inform the sales team to fulfill sales leads accordingly• Show complete product knowledge, understand rate structure, and apply rate management• Check on pending visa or expiring visa’s which need to exit the country• Ensure to send confirmation for new reservation and follow up those without correspondence• Ensure all incoming calls are answered as per the Rotana standards, information received by fax is inputted and check constantly the incoming e-mails• Organize transportation with the hotel driver and follow up on the information provided
