- Orchestrate business contracts with third party vendors; soliciting bids, collecting invoices, negotiating terms of agreement, and supervising timely payments- Conduct annual cost analyses for all staff retreat, organization wide travel, and spending in all 18 field offices; assist with annual audit and reconcile all travel expenses - Assist with HR functions, including Workers Compensation audits, onboarding and offboarding, orientations, trainings, and performance reviews for direct report- Responsible for all material and equipment purchases across the organization, including managing purchasing, monitoring the inventory value of $1 million using Salesforce, and overseeing reimbursements and expense reports for purchases - Spearhead and manage all corporate insurance policies for over 120 employees in 33 locations, including D&O, Workers Comp, Cyber Insurance, General Liability and Property Insurance- Manage the needs of all 17 field offices, including offices moves, renovations, expansions, subleases, liaising with building management, and managing lease agreements- Implement and manage travel program, balancing monthly travel statements and developing new policies that resulted in $12,000 annual savings, as well as training staff in new systems- Supervise Administrative Assistant; hiring, onboarding, training, tracking and evaluating performance, and providing feedback when necessary- Liaise with multiple teams with various deliverables including the Chief Operating Officer, Administrative Team, Finance Department, IT, and HR- Initiate and execute Administrative Orientation for all new staff, walking them through all organizational processes- Maintain Excel spreadsheets detailing lease requirements, electoral time tracking, and budgets- Monitor and maintain the equipment database of roughly $1 million using Salesforce
