Office Manager
Current•Primary and initial point of contact at entry to office. Answer phones and route calls correctly – taking messages when needed. Sort and open mail. Sort packages. Receive deliveries and/or advise appropriate department delivery is coming. Prep and clean up conference rooms. As much as possible, maintain/clean front porch & water flowers. Straighten up general office areas, as needed – print room, back storage room, conference rooms, etc.•Maintain all supply levels of office supplies and branded marketing supplies.•Point of contact for all vendors and repair persons for issues related to office. •Responsible for renewals of Principal Architect’s licenses in multiple states; all insurance renewals for the firm; and all registration renewals of company-owned vehicles. •Responsible for scheduling all continuing education courses by vendors for needed CEUs for licensing. •Responsible for posting of all open positions. Screening candidates; performing all on-boarding for hired candidates. •Weekly payroll processing; tracking of all PTO. Reporting 401k weekly. (Only HR-related employee at the firm)•Invoicing of all clients throughout the multiple phases of their projects using CORE software.•Tracking payments. •Using CORE to track profitability of each project. Ensuring all employee rate information is up-to-date for accurate reporting. •Paying all bills for firm to include, utilities, credit cards, taxes, etc. and reconciling off all bank and credit card accounts. •Working with the accountant throughout the year for tax projections and annually for year end tax preparation. Making all payments as directed by accountant. •Main point of contact for clients throughout their project. Ensuring timely communication on all aspects of project and that there is forward movement throughout the process. •Due to lack of staffing was also tasked with a multitude of Marketing responsibilities.•In addition to being Office Manager, managed 2 income properties.
