Answered the phone, transferred calls, opened and distributed mail, welcomed and checked in clients, verified appointments and contacted the necessary person(s), researched data, assisted professional staff with various duties/tasks, dictation, unlock/locked the front door, calendared appointments for rooms, scheduled the cars according to priority, read and understand policies/other training, restocked and maintained the copy rooms, assisted the office Psychologists and nurse with eligibility meetings using a spreadsheet, typed various documents, used the internet to search for images and data, scanned and copied documents, used Share Point to print any needed documentation, reviewed charts and removed the files of people who fell out of service to the archived records, researched the medications individuals used and updated any documentation if needed, thinned medical charts, keep and maintain an updated list of diagnosis for each individual, created an emergency contact list using a spreadsheet and distributed it to all staff, put together application packets for the Intake Coordinator, created a table of contents and divider tabs for miscellaneous binders such as the DBT group program, voter registration tracking form records, and other requested binders from the professional staff. Served as a back up to run case management note reports and billing reports, inventoried psych assessment kits and tests and kept a list of the current publisher for such tests, voter registration tracking, filed records according to a strict standard for current clients set in place by Medicaid, numbered and stored thinned records, kept in compliance with HIPAA when filing and storing, used a computer to research information pertaining to filing, used a spreadsheet to track what has been filed and where it was placed, assisted the Service Coordinators with filing documentation into current charts and started a new chart if needed or broke down a large chart into smaller charts.
