Scope of the Job:This position is to ensure the efficient management of the Chairman office, handling all administrative related work, ensuring that all records, correspondences and communications are answered and filed. Act as the contact person with all other departments ensuring proper coordination and communication.Functional Responsibilities:Handling of deliveries/ Mail/ Faxes.Coordinating and taking minutes of meetings.Preparing and following up on expense notes/claims.Maintaining and ordering office supplies/equipment.Travel arrangements.Provide general administrative support to the CEO, Board of Trustees, Vice president, President Office and Marketing departments.Responsible for Petty Cash If needed.Maintains contact/relationship with external parties when needed.Collect information and compile data for reports.Maintain and keep updated filing system.Translating and interpreting.Handling the administrative work of Chairman Foundations or similar type of project.
