I am responsible to maintain an effective finance and grants management system with the help of other support functions/budget holders. Further I am also responsible for the overall financial management system, internal control system, tax related matters, compliance with donor guidelines and was having the leading role to facilitate auditors (Internal, external and grant specific audits).- Keeping proper record as per the HA record keeping policy as well as external audit requirements.- Preparation and submission of timely financial reports- Support budget holders in budget preparation, budget re-alignment and effective budget management.- Being a member of procurement committee, I am ensuring donor and HAI procurement guidelines.- Provide timely budget consumption reports and highlight any future overspending/under spending.- Ensure availability of sufficient funds for all grants by requesting funds transfer from donors and tracking grant debts.- Ensure donor compliance and timely submission of reports.- Prepare Monthly funds forecast and weekly funds status.- Ensure compliance with international and local government laws related to financial management.- Remain involved in budget preparation, budget implementation, and budget control of different projects- Ensure that adequate internal controls are in place for safeguarding HAI financial resources.- Support budget holders and managers in monitoring the approved budgets by providing BvAs and spending analysis.Also communicate critical issue to the concerned budget holders and senior management.- Ensure efficient local banking arrangements and compliance with local financial and banking regulations;- Ensure transparent and efficient utilization of HAI financial/administrative resources;- Being a member of “Executive Management Team” I was involved in preparation of overall finance strategy and then its alignment with HAI strategy

I was also responsible for administration department. Manage general office administration & Logistic. Being administration officer was responsible for managing staffs, Managing staff Annual leave, purchasing, transportation, warehousing, develop asset register & updated ,and ensuring structures are in place to monitor the flow of goods and materials. Coordinates utilization of vehicles, creates routes, supervises drivers, coordinates routine maintenance, and monitors proper utilization of respective budget.Key Responsibilities - Prepare staff annual leave plan, make ready replacements for staff going for leave in advance when applicable and help employees to go to leave as per their plan; Maintain up-to-date record of annual leave and other leaves;- Sets up sound supply chain and avails means of transport for any request and warehouse space.- Ensures the provision of effective and efficient logistical support services to all units and departments of the organization- Ensures and monitors procurements are cost effective, timely, up to expected quality level, and in compliance with HAI financial as well as procurement and logistics policies and procedures.- Ensures the adherence of HAI vehicle management policy, driver rules and regulation are maintained, vehicle service time and maintenance schedules are followed.- Ensures the annual inspection of vehicles, secures insurance coverage- Provides/facilitates logistical support for staff travel arrangements during internal and external travel.- Ensures that inventory records are updated.- Supports for the supervision and monitoring of all field office stores, rented warehouses and stock movement activities are in compliance with IR policies and procedures.- Compiles periodic, procurement data, store inventory, logistics support report maintaining with required quality - Produces periodic monthly, quarterly reports.
