Senior Operations Manager
Current• Manages A/P, ICAs, NDAs, W9s, systems onboarding and processing, payment processing, vendor relations, and communications.• Processes journal entries, reconciles bank statements, handles employee expenses, reconciles credit cards, and monitors costs and budgets.• Confirms A/R client invoices, deposit payments, and tracks cash flow.• Supports leadership with month-end closings and year-end reporting; collaborates with the CPA on tax filing preparations.• Ensures all legal and regulatory documents are filed and monitors compliance with laws and regulations.• Works directly with insurance providers to select packages and handle renewals; coordinates COIs and WOSs for on-site projects.• Supports critical HR functions, including staff onboarding/offboarding, orientation, and safeguards sensitive employee data.• Serves as the main point of contact with current PEO; leads system setup, benefits, open enrollment, and ensures compliance with labor laws and requirements.• Organizes and oversees annual employee reviews and peer reviews; ensures all reviews are documented.• Tracks and transfers part-time and full-time employee timesheets into payroll software each pay period.• Promotes a company culture that encourages top performance and high morale, assisting with company events and team meetings, both virtual and in-person.• Provides Level 1 and Level 2 help desk support for team members, manages equipment leases, software procurement, and maintains the agency’s HR, accounting, and IT databases, files, and system updates in collaboration with the IT Manager.• Reinforces tech and operations infrastructure between departments to ensure consistency and that quality standards are met.• Analyzes organizational processes and infrastructure to identify opportunities for improved efficiency, cost reduction, and execution.• Supports the leadership team in other ad hoc accounting, HR, IT, and operations matters as needed, contributing to the agency’s growth.
