Preparation of briefing notes, presentations, reports, submissions, correspondence, and other project documents as required. Planning and scheduling of Board and committee meetings including secretariat activities such as chairing meetings, preparing meeting packs, following up actions and distribution of meeting agendas, artefacts, and minutes.Researching and reviewing Queensland Police Service and external governance meeting dates and liaison with secretariat to coordinate CMP briefings, including implementation and creation of planning shared calendars for governance activity oversight.Providing administrative support to Program Director, through diary and meeting management.Delivery of presentations to internal and external executive stakeholders.Management and monitoring of program registers such as risk and issues registers to ensure program data is accurately and appropriately maintained.Representing program on internal forums such as the EPMO ‘Project Start-Up Stakeholder Advisory Group’ to ensure strategic alignment across the Queensland Police Service.Organisation and liaison of program assurance activities such as scheduling of program assurance interviews and briefings, compilation of program documentation for independent assurance reviews, improvement of program registers, and actioning recommendations from assurance providers.Fostering positive relationships with internal team members and external stakeholders to support the program produce deliverables.Conducting financial activities relating to the program budget including audits against SAP reporting data, payment of program invoices using Queensland Shared Services, recording and monitoring of expenditure against planned spend and creation of standards and templates for the payment of program invoices.
