Responsible to provide a wide range of high level administrative and executive support to the President & CEO, CFO, and other assigned executive leaders using various software programs to record minutes of meetings, prepare presentations, reports, webinars and/or correspondence ensuring company standards are met with a high level of professionalism and confidentiality. Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants as well as consultants to coordinate a variety of complex executive meetings. Answers phones and directs all incoming calls to appropriate executive as well as handles incoming/outgoing electronic communications for executives. Assist in pipeline/forecast preparation and management. Prioritize and manage multiple projects simultaneously. Arranges travel schedule and reservations for executive leaders as well as managing the preferred vendor contract/relationship. Works closely with executives/leaders to coordinate and launch hard copy or email campaigns to employees; clients; potential clients and/or consultants. Other duties may include setting up Employee Recognition events; company awards and festivities; assisting with Shareholder meetings and materials; interact with insurance companies and the distribution of necessary documents to senior leaders and project managers. May train other clerical and/or administrative assistants to perform duties ensuring company standards are followed.
