As a Project Portfolio manager I was responsible for providing the “big picture” of upcoming, current and past projects including Resource Allocation. Working closely with Finance, Project Managers and Resource Owners globally exchanging information on Business cases, risk, actual and forecasted cost, dates and stage gates. Simplified and improved Portfolio visibility, data reliability, comparability and capitalization of the €30 M/year Project Portfolio by moving from spreadsheets to software tools, from single projects to programs and by mirroring the Agile software development process in the time reporting system. By providing a well substantiated Portfolio view I was enabling management to make better decisions on project and resource optimization. Responsible for supporting the VP of R&D (Research & Development) in running a 350 people organization located in Sweden, UK, US, India and China. I was overseeing all financial, HR related as well as executive reporting of development project portfolio. Managing Steering committee meetings with responsibility in terms of process, repository, content readiness (Technical, Market and Financial part of Business case) actions and schedules. Conducting R&D reports, KPI’s, budgets, forecasts, org. charts, etc. Planning and scheduling introductions for new employees. The role also included troubleshooting, translation, diplomacy, being a human database, helpdesk, and ambassador to the inside and outside world. Projects: New repository for shared R&D information, Coordination of require-ments, setup and launch. Stakeholders were IT, external contractors, R&D. Global roll-out of project time reporting system, Included web based training for China, India, UK and Sweden and live training in USA. As global system owner I was also responsible for ongoing improvements within system, admin role, reports and system user support.
