Conferences ranging from 300 room nights to 30,000 room nights. • Review hotel contracts with clients to ensure correct room block flows, hotel rates, hotel expectations, and advise clients of any changes or items that should be further negotiated with hotels via addendums to benefit the event. • Work with clients via a timeline on receiving necessary materials to prepare Housing forms/Information Sheets for publication, instruct call center on group, and open the event to the general public.• Work closely with IT to setup, review and test housing websites.• Prepare and provide clients with weekly attendee/hotel pick up and pace reports.• Manage daily correspondence with event participants.• Manage all client requests and attendee issues from the event’s start to end. • Manage hotel Attrition when contracted, and strategize with client on attrition mitigation. • Go onsite with the conference to ensure the hotels are meeting contracted terms.• Provide clients with post-event reporting to help them plan upcoming conferences. • Assist clients with hotel contract execution for upcoming conferences. Registration:• Manage the Registration of International Groups, Exhibitors and General Attendees. • Hold weekly meetings to discuss the number of International Groups booked, processed and pending, as well as, discuss the Revenue generated. • Ensure through proper member/non-member verification the correct registration fees are being assessed at time of registration in accordance with registration fee deadlines. • Manage daily correspondence with registrants.• Print, Sort, and Package International Group Badges for on-site pick up.• Set up appointments with the responsible party for International Group pick-up.• Print sort and package Exhibitor Group Badges for on-site pick up.• Register guests’ on-site, print badges and tickets.
