Typing of correspondence and legal documents (agreements and similar documents), for both internal and external customersLiaison with domestic and international subsidiary and clientele (i.e Australia, Mauritius, Dubai, LATAM, Sub-Saharan)Co-ordinate legal meetings, events and travel and accommodation arrangements for legal counselProcess and manage incoming and outgoing post, telephone calls, e-mails and correspondence handle of confidential correspondence and informationSet up teleconferencing and video conferencing timeouslystationery is ordered when necessary for legal counsel Ensuring archiving of email folders and regular maintenance Handling of ad-hoc queries when requested, taking, typing and circulation of minutes to meetingsCreate and follow any already established in-house work procedures Diary management, filing, screening callsProof reading of legal documents Processing new legal instructions Forward standing instruction sheet for completion by requestorResearch information on new client if requiredTracking legal documentation after final versions have been submitted for signatureLiaise directly with clients regarding queriesSet-up and maintenance of filing system Open files, ensuring closed files are archived Systematic filing and labeling of files preparing and maintaining a comprehensive database of all current and archived filesScan original legal documents and save electronically Preparing and typing of first drafts of agreements using in-house legal templates Collation and updating of legal matters status report on a weekly basis Legal research using internet search engines for via established legal networks Access and use information from legal print and electronic texts Distribute allocated agreements to the various persons at different departments on a weekly basis Maintain status report which is mailed to senior management on a weekly basis for perusal
