Budget Manager
CurrentAt the creative ad agency D&G I'm the Budget Manager for the Kia client. I am the one finance employee solely dedicated to this account. Experience with broadcast TV, radio, digital, OOH, brochures, print, merchandising, and sports marketing. These can be national, regional, and global projects. Answer client inquiries about project costs and forecasts. Run budget meetings with clients. Monthly and year end client accruals. Generate and manage training sessions for agency employees. Client billing policy, agency and client travel policy, and agency training for software (Advantage, PDF, Excel, Teams, etc.). Maintain various reports that track costs. Budget, vendor invoices, job actuals, client PO's, aging reports, etc. Generate retainer estimates and billing. Client billing. Issue and review pre-bills and digital rate card fee invoices as needed (daily/weekly), and a monthly billing packet. The monthly billing ranges from 30 to 60 jobs with invoices ranging from 4 to over 500 pages. Troubleshoot overages and other issues with the agency account and production teams. Vendor invoices. Processing and reviewing costs to ensure line items are within the budgeted amount. I also review and approve backup requirements outlined in the Kia billing policy. Working with Business Affairs to ensure celebrity, licensing, and talent invoices are paid on time as detailed in the contracts. Expense reports. Reviewing to confirm all reimbursements fall within the agency and client travel policy. Audits. Gather past paperwork in a timely fashion, and answer inquiries for both internal and external audits. Removed the need for physical paper as of 2020. All tasks are completed digitally. Answer vendor inquiries and provide updated aging reports. Work closely with the cost consultant EVP to ensure agency billing, estimates, and vendor invoices comply with the client policy. Update monthly aging reports.Coordinate with client and agency Accounts Payable.
