Roles: Responsible for providing administrative and secretarial support to the Talent Acquisition Head and Operations Manager by taking down Minutes of the Meeting, updating Management ReportOrders Supplies needed for Marketing collaterals, Job Fair events and maintains inventory of items for this purposeComposes routine correspondence and memos upon instruction of the Managing DirectorManage lease agreements with Building AdministratorEnsures that all facilities of the building are functioning wellProvide staff with basic knowledge on Operational drills such as Fire, Earthquake Drills in coordination with the Building AdministratorOversees and coordinates among employees on the use of the Reception Area, Training Rooms, Interview Rooms, Board Rooms and other rooms in the officeMaintains Security of confidential information such as documents of employees, applicants and candidatesPrepare monthly reports on the maintenance of the facilities in the officeSupervises Janitorial Staffs to ensure cleanliness in the officeSupervises the Messenger for all functionsOversees the Receptionist in ensuring her duties and responsibilities are carried out Ensures that the Receptionist accommodate the visitors, inquiries are answered and provides information on inquiries and requestsSchedules services for clients including pick-up and drop in at the airport, hotel reservations, transportation reservations, itinerary within Metro Manila and other professional requests including weekends and holidaysProvides Client Checklist prior to arrival to ensure all requests and pertinent information are coveredProvides client Survey every after clients visit made in the office
