Handles all office supplies and clerical duties. In addition to supporting HR in a coordinator capacity in key employee onboarding and engagement activities.The Office Manager and Executive Assistant handles Expenses, Screen Phone Calls, Maintain Appointment Calendar, Write Letters, prepares PowerPoint Presentations, Schedule Skip Level Meetings with HR, Keep Client’s Booth & Executive Conference Room Schedules, and assist with requests to make lunch and dinner reservations and update station listings. For Other DepartmentsNews – Assist by copying and distributing contracts and being a Timekeeper backup approver.HR – Supporting HR in a coordinator capacity. Assist HR with ordering food/snacks and setting up if needed for meetings, assist with internship program. Assist with station engagement activity, birthday celebrations, onboarding and off-boarding employees. Marketing – Assist in the fulfilment of promotional sweepstakes. Work with the Creative Services Director to implement social strategy for Instagram, Twitter and Facebook, and be the liaison for viewer engagement.In addition to assisting other departments; the Office Manager and Executive Assistant is also part of the EHS Safety Committee. Help attendance and maintain the attendance tracker Breeze 360. They are also responsible for reporting the repairs required on the copiers and check the toner supplies to keep them ordered and stocked. Point of contact for the coffee service vendor and ensure all departments have supplies.Mail and packages handling from couriers and postal services. Making sure incoming parcels and mail are distributed and outgoing mail is accurately sent.
