My first co-operative education placement, this role at the Esquimalt Graving Dock included supporting the acting Director in an administrative capacity. Regular duties included answering telephones, booking appointments, taking and preparing meeting minutes, transcribing electrical drawing notes, and maintaining an electronic document records management system. Large projects included preparation of Employee Performance Management Agreements and Personal Learning Plans for submission to Human Resources, planning a BBQ for 60+ people, and assisting the Director in orchestrating a large office renovation and reorganization. The co-op term resulted in an extension to a part-time time position.

Sent correspondence to clients regarding Permanent Residence cards, interview dates, Citizenship exam testing, Citizenship ceremonies, etc. Took payments and received paperwork for landing immigrants. Used a Bring-Forward filing system. Maintained confidentiality on sensitive subjects. Invigilated and marked Citizenship Tests. Answered general inquiries in person and on telephone.

Performed general administrative duties including handling multi-line phones, short and long-term scheduling, filing, billing and collections, customer service, and patient care management. Prepared reports and legal documents for doctors and patients. Assisted in the hiring, training, and development of new employees. Helped to create employee scripts and protocol. Handled large sums of money when helping clients, balancing cash, doing basic accounting and depositing money at the bank.
