Validation : Invoices are received in a tool called “Validation”. All the information needs to be filled in on the application as mentioned on the Invoice image before sending it to the next Queue. Some of the fields that application consists of are : Vendor ID, Invoice#, Invoice date, Deloitte entity, Amount, WBS or Internal order#, PO# if any etc..Booking of Invoices : The invoices that are received from the Validation are then Booked for payment in SAP. Booking involves selecting the correct expense type, posting the expense to the correct GL or Cost center, Tax Code and charging it to appropriate WBS# or Internal Order#. They are then sent for approval which is the final step of payment process.A/P Mailbox : If there is any information missing on the Invoice either from the Vendor’s end or Approver’s end ( within Deloitte, like WBS or IO#), a mail has to be sent accordingly and follow up has to be made. The Invoice has to be cleared from the queue as and when a response is received.Vendor Creation : Few of the Vendors do not exist in the system as they enter newly into the contract and needs to be setup in the system to process the Invoice for the payment. Following is the information that has to be provided by the vendors to go ahead with the creation. Vendor address, Contact details, Tax ID, IBAN ( International Bank Account Number) and Swift/BIC Code. Duplicates : Any two invoices that has similar information of Invoice#, Invoice date and amount received from the same vendor are marked as Duplicates by the system automatically. It has to be decided based on the service description and Invoice type ( Debit and Credit Invoices) if it’s a Duplicate or not.
