As a Financial Assistant at the Massachusetts Institute of Technology's Professional Education, I manage various financial activities crucial to maintaining operational efficiency and accuracy. My responsibilities include verifying ProCard transactions and processing invoicing, requisitions, and purchase orders through the Buy2Pay Coupa System. I create reports for travelers using Concur Travel Reporting and am proficient at journal voucher entries and creating cost objects. Additionally, I perform monthly account reconciliations, oversee marketing budget reporting, and process accounts receivable and payable. My role also involves distributing royalty payments and reimbursements and creating detailed financial reports and forms, ensuring that all financial processes align with institutional policies and standards.

I started working at MIT as a TEMP in June 2022 in the Physics Department where I am covering for their Financial Assistant 2. I handle the ProCard Verification system, where I verify credit card charges on the Schools' cards ensuring that the charges are allowable, and legitimate. I use the schools Buy2Pay Coupa system in order to approve incoming invoices awaiting payment, and to review affiliates Purchase Orders to ensure it is allowable, and fundable. Another system I use frequently is CONCUR. In CONCUR, affiliates submit Travel Reports where their expenses from the trip are covered. Using this system, I have to review submitted reports ensuring the charges meet MIT guidelines. If there is ever any error or a late posting, I create Journal Vouchers in order to move funds to the correct accounts. In order to hedge audit risk the Physics Department runs monthly Financial Review +Control. Using this tool, every account holder is audited, and our department must review the chosen charges (CCs, Invoices, Travel Reports, Request for Payment etc.) to prove they are legitimate. I track any ongoing external fellowship incentives, relaying information to graduate students, and our tracking system ensuring information is consistent between the two to avoid any overspending on each award. I also facilitate the Travel and Procard applications between applicants and the authorizer to ensure smooth entry into the systems.

My day to day activities included speaking to clients directly over the phone, discussing their different billing policies faced with their insurance plan, to explain the invoice they received. I also served as the billing balancer to cover a colleague's absence. My responsibilities included balancing the daily Credit ACH report from Bank of America, to ensure it matches the deposits received from each Massachusetts Compass Medical branch. This also included matching the credit card statements to the numbers entered by Compass Medical affiliates.

During my first two years as an employee I worked as a front-end cashier. My responsibilities included assisting customers by checking out their transactions, and bagging their groceries. During this time, I also served as a cart-clerk, where I would return the carts discarded outside to the appropriate area in the store. I was also in charge of the "clean-sweep", where I would ensure the whole store was in a safe, and clean manner. In 2018, I transferred to the Deli, and Meat & Seafood departments, where I would rotate my shifts based on where my skills were most required.In these departments I oversaw the packaging, slicing, and stocking of the product supply. Under the deli department, I also worked over-night shifts taking inventory of products on the shelves, and then filling any missing product.
