Accounts receivable, accounts payable, human resources, tax filer, custodian, nurse, payroll clerk, file clerk, IT, etc. using Quick Books Enterprise software for all of our accounting and Auto Quotes for our quotes.My responsibilities include but are not limited to:• Answer phones and direct callers to the appropriate salesman; take messages and make sure they are returned. • Greet customers via phone, email or in person. • Coordinate jobs for the shop workers; create GPS routes for jobs; make sure they provide all paperwork necessary to bill for jobs done; make sure they are following our safety standards.• Create all sales invoices, purchase orders, enter all customer payments, make daily deposits, keep track of credit card payments; make sure that all credit card information is secure.• Create customer files, keep files up to date and properly filed in file cabinets for quick access.• Enter bills, make payments to vendors; keep vendor files up to date and properly filed for easy access.• Figure time/costs of jobs using Excel created worksheets and bill accordingly.• Figure payroll weekly, print/sign checks and distribute to employees.• Report and pay all federal and state payroll liabilities, work comp hours, etc.• Figure, report and pay all sales tax payments in multiple states monthly.• Type all correspondence; scan documents for email; send out faxes.• Collect and distribute mail daily; order all office supplies; keep office clean.• Keep our Facebook pages up to date sharing pictures from jobs, builds, etc.• Trouble shoot computer problems, keep everything up and running from our internet to our emails to our fax machine and computers.
