-Prepare all correspondence, including confidential documents, such as personnel-related memos, charts, graphs and monthly reports. Format documents in agency-prescribed format accurately and within deadlines.-Keep timekeeping records to compute accurate and timely payroll and leave balances.-Ensure that all Family Assessment and Service Plans (FASP), permanency reports, plan amendment forms, and other documents including Request for Special and Exceptional Board Rates are completed accurately and in a timely manner-Contact Administration for Children’s Services (ACS) and request birth certificates of foster children-Keep an updated roster of all foster children, foster parents and birth parents. Assist with monthly review of caseload-Organize family team conferences (FTCs) and ensure that all parties are invited (facilitators, birth parents, foster parents, foster children and legal guardians)-Track foster children’s medical and dental reports. Set up dental and doctor appointments for foster children. Send out monthly notifications to make sure that foster parents are notified in a timely manner so medical and dental reports are up to date-Manage/supervise adoption process, making sure all documents are acquired and applications completed. Once all documents are acquired and checklist made, documents are taken to the adoption lawyer so case can be filed in a timely manner-Track foster children movements, adoption updates or goal changes and enter them into the Child Care Review Services (CCRS) system.-Track days per month each foster child is in care, so foster parents receive the appropriate amounts on their monthly board checks.-Distribute transportation cards so that foster children and birth parents can meet appointments, court hearings and children visits. Track number of cards distributed and for what reasons -Tally petty cash receipts and submit to the fiscal department for processing.
