Known to… Show more As the Confidential Executive Assistant to the Deputy Superintendent, I serve as executive office manager and liaison to the department staff, and activities of the office. Provide explicit executive support to the Division and its C-level executive leaders, who report to and serve on the Superintendent’s Cabinet; by proactively taking the approach and anticipating the needs of the division and executives, exercising professionalism, exemplary judgment, discretion, and confidentiality. Known to initiate and carry out responsibilities by applying thorough knowledge of the organizational structure, the district's functions and policies. All while holding a high degree of integrity, cultural responsiveness, and exemplary work ethic. ● Coordinate/Communicate/Manage; meetings, communication, C-level calendaring, travel arrangements● Generate/operate a smooth/timely workflow by tracking/prioritizing projects, and task; creating/developing processes that align structures within offices● Coordinate internal activities, projects, programs, and similar functions on behalf of the Deputy including logistics for retreats, meetings, and office events.● Prepare purchase requisitions, budget transfers; contracts, invoices, payroll, inventory, and distribution of office supplies and materials.● Provide excellent customer service (elected officials, district administrators, staff, parents, and members of the public), assisting and directing them to the appropriate personnel, Initiating phone calls, receiving and transmitting information.● Collaborate/attend/lead various department and district meetings; prepare/send out notices; collect/compile materials and prepare agendas, order food and supplies.● Prepare/ maintain a variety of confidential lists, records, and files.● Act as the HR contact for the Division; assisting with interviews, onboarding, training and supervising staff (assistants and administrative assistants in the Division).
