Meetings Manager
Current- Plan and execute 25+ meetings annually. Manage RFP sourcing for hotels and vendors, contract negotiation, room block assessment, project timelines, budget management, meeting specs and BEO review, through on-site execution and invoice reconciliation. In 2023 I led a team of 15 NCSL staff to execute a four day program for 800 people. Expected attendance was 300 so I skillfully managed lots of changing details.- Sole event planner for leadership meetings convening the nation’s top VIP state lawmakers; requiring the utmost customer service and attention to detail and a close relationship with NCSL’s executive team. The only NCSL meetings to be held internationally; they require expertise in negotiating international contract terms, high-end amenities and services, extra planning and diligence due to time zones and language barriers, and additional communications with vendors and DMC’s.- Proven thorough budget management and expense reduction strategies – saved NCSL over $100k throughout 2023 meetings without compromising attendee experience.- Mentor and mange a team of two event coordinators through training, NCSL and industry best practices, and project delegation.- Oversee the exhibit portion of the annual meeting for 250+ exhibiting companies. Responsibilities include but are not limited to floorplan design for booth sales, liaison with GSC on labor regulations, booth furnishings, on-site down production schedules, and shipping. - Execute a multitude of other logistical details for the 5,000 attendee annual meeting such as menu selection and cost negotiations for F&B functions, venue security, building graphics, temporary signage, ADA accommodations, sponsorship fulfillment, tour transportation and off-site receptions. - Create first ever written internal NCSL standard operating procedures for the Meetings department. Includes but is not limited to the exhibit sales process, reviewing bids and contracts, virtual meeting set up, on-site execution checklist.
