Administrative Specialist 2
Current• Provide administrative support to workforce partners, TAA case managers and TAA participants.• Answer TAA program related questions regarding the TAA program services and the TAA petition process.• Interpretation and implementation of laws, rules and regulations of the Trade Adjustment Assistance Program and office procedures for compliance.• Gather and analyze data, ensuring accuracy of data entry for Department of Labor and other agency reports.• Use of agency's mainframe, UI, imaging and TAA MIS systems to enter and gather information for data collection.• Review purchase orders for accuracy and compliance.• Review training plans, training plan modifications, training waivers, job relocation allowance and job search requests and out-of-state training plans to ensure accuracy and completion.• Reach out to CTAU staff when issues arise with the information or completion of a form and resolve the problem accordingly.• Developed and took on new processes in support of Workforce Operations including, but not limited to; Meeting Scribe, Celebrations Team member, maintaining PowerPoint agenda presentation for meetings, any additional assignments.• Maintain vendor billing authorization spreadsheet for Lane Community College. Communicate with other Colleges and Universities as the main point of contact for billing and invoicing inquiries and resolutions. Send billing authorizations to training facilities when appropriate.• Update and maintain the CTAU Overpayments spreadsheet. Contact appropriate CTAU staff if issues arise and assist in resolving the problem.• Generation of forms and documents for official use by staff to streamline current processes.• Provide administrative support to the Office Specialist 2 position's critical tasks.
