ENTER ACCOUNTS PAYABLE: I check to make sure the correct vendor number and charge codes are on each invoice. I also check to make sure the correct employee has approved the bill and that the amount on the bill is not above their approval amount.RUNNING REPORTS: I create an Excel spreadsheet that compares the number of bales we are charged storage for to the number of bales of cotton we shipped in the month. I then report any discrepancies to the manager. I create a spread sheet allocating the gallons of propane used to the appropriate Staplcotn owned warehouse. Produce a weekly A/R aging Excel report on financially unstable clients. I deliver this report to the VP of North American Sales.EFFECTIVE COMMUNICATION: I communicate daily in both written and verbal forms to people inside and outside the organization. It could be an issue with an expense report that involves the employee and the VP of their division. It could be a warehouse owned by a Director of Staplcotn might be over charging Staplcotn which would require me to communicate with my direct supervisor, the VP of Systems, and the CEO. I would then have to start negotiations with the warehouse on how the issue can be resolved.MAINTAIN ACCESS DATABASE OF USDA LOAN BALES: I maintain a daily record of the inbound and outbound bales in the USDA loan program reconciling it to the daily USDA Inventory reports. IF there is a discrepancy I work with the head of IT to figure out where the error occured.UPS BILL RECONCILIATION: I reconcile the UPS bill to the shipping receipts and verifying that the usage was business related.PLUS: Mill Sales A/P Clerk Duties
