Executive Assistant To The Procurement Director
CurrentKey Responsibilities:Calendar Management: Efficiently manage and coordinate the schedules of Procurement director, including scheduling meetings, appointments, and conference calls.Travel Arrangements: Arrange complex domestic and international travel itineraries, including flight bookings, accommodations, and transportation for Procurement director.Communication: Serve as the primary point of contact between Procurement director and internal/external stakeholders, screening and prioritizing phone calls and emails.Document Management: Draft, edit, and proofread various documents, correspondence, and reports as required by the Procurement director.Meeting Support: Prepare meeting agendas, materials, and follow-up on action items. Attend and take minutes during meetings when necessary.Expense Management: Monitor and reconcile expense reports, ensuring compliance with company policies.Client Relations: Assist in maintaining positive client relationships by providing exceptional service and handling inquiries or requests promptly and professionally.Information Management: Maintain organized and confidential electronic and physical filing systems.Project Assistance: Support executives in various projects, including research, data analysis, and presentation preparation.Office Operations: Assist in the day-to-day operations of the office, including ordering office supplies, coordinating office maintenance, and overseeing the office's administrative functions.Other Tasks: Handling all personal work of the Procurement Director, including but not limited any work related to the firm or any other businesses or personal matters.
