Conference Planning Manager
Manage and coordinate all details for meetings and conferences turned over by the Sales Department to the Conference Department. Groups range anywhere from 12 - 1,000+ people. Monitor all contractual agreements pertaining to group room blocks and meeting space, food and beverage requirements, A/V requirements, oversee room set-ups to ensure they have been set correctly, draw up floor plans if needed. Communicate all pertinent information via BEOs utilizing Delphi for each hotel department so staff knows what is expected of them to ensure a smooth event. Monitor group while they are in-house to ensure that the client's requirements are being handled as requested several times a day. Upon departure, meet with client for bill review. On occasion, assist the kitchen for plate-up or help set dining rooms when larger groups are in-house. Additional duties include help with meeting room set-up, Site Visits, and Manager on Duty for the night-shift making sure hotel property is secure and safe at night.Additional:-Capable of working in both an independent and team-oriented, collaborative environment.-Working knowledge of meeting room set up, the ability to draw up floor plans, and booking room space.-Ability to control schedules/timelines and overall action items.-Provide excellent customer service utilizing effective written and verbal communication skills.-Proficiency with PC, MAC, and Delphi.-Highly motivated, detail-oriented self-starter with exceptional time management and organizational skills.-Able to manage multiple priorities in a fast-paced, high-pressure environment while maintaining accuracy and a good attitude.- TIPS certified through 10/2022.
