• Prepare a Spare Parts Data Package Submittal Plan (SPDPSP) and submit to SAPMT for review by M&SSD and Cataloging Contractor.• Provide Materials & Services Standardization Division (M&SSD) with basic project purchase order information in a table format in accordance with APPENDIX B: Spare Parts Data Package Submittal Plan Format. This will be used to update M&SSD project tracking system.• Encourage the equipment suppliers to indicate on the SPDP the details of similar equipment previously supplied to Saudi Aramco to help accelerating cataloging process.• Ensure that SAEP-31 requirements and all its appendices are included in all applicable Request for Quotations (RFQs) and POs and sub-orders. • Present SPDP requirements and deliverables in every supplier bid-explanation and pre-award meeting.• Initiate Spare Parts Data Package request to the vendors.• Coordinate all the vendors activities related to SPARE PARTS and check they receive all necessary instructions, formats and procedures.• Arrange meeting and visit with the vendors to expedite the required documents.• Expedite vendors for submission of the SPDP in the format set forth, in coordination with the appropriate engineering specialist.• Review the supplier SPDPs submittals for accuracy, format, and completeness, and promptly resolve deficiencies prior to sending the SPDP to the SAPMT.• Obtain accurate and complete information from suppliers & prepare the SPDP (spare parts data package) as per Saudi Aramco standardization.• Arrange to obtain the SPDP’s from suppliers within three working days after NMR602 documents are approved, but no later than the shipment date.• Making follow-up with the suppliers for the documents required by Aramco cataloging unit.• Participate in SPDP progress meetings with Aramco and cataloging contractor.

• Source searching/selection, RFQ floatation & obtain quotation.• Prepare the comparative statement & co-ordinate with end-user for technical clearance.• Ensure the vendor worth and credibility before placing order.• Negotiation with vendors regarding price, payment terms & delivery period etc.• Price approval from management & calculate the expected landed cost of the item.• Placement of purchase order, arrange payment to vendors & follow-up of Shipments.• Arrange Insurance of consignment & verifying insurance bills.• Verifying LC /CAD draft & get it approved from beneficiary.• Dealing with Banks regarding T.T payment, opening/ amendment/ retirement of L/C, DP/CAD.• Prepare the project delivery plan and follow the same.• Dealing & nominate own freight forwarder for Ex-works & FOB shipments.• Correspondence with customs clearing agents & arrange payment of customs duties.• Dealing with transport companies for transportation of LCL/FCL consignment.• To arrange survey of damaged goods, prepare insurance claim & follow-up till its settlement.• Ensure the terms & conditions, quality, brand & quantity of material agreed with supplier.• Invoice / bill checking and forwarding to accounts after necessary approvals.• To co-ordinate activities with Accounts & Finance department for timely month end closing.• New vendor development and work with original manufacturer or his authorized agent.• Provide detailed information and reports to the Executives as and when required.• Prepare monthly cash flow statement & procurement log sheet.• Arrange export of consignments for repair/ analysis purpose.
