• Preparation of activity budgets in accordance with the overall approved project budgets and monitors the expenditures on continuous basis to ensure strict adherence to policies and procedures.• Preparation monthly financial reports:1. Accruals reports (SF-452)2. Pipeline report: the expenditure analysis to date by comparing the budget to the actual spends for management decision making • In-charge of all end of month balance sheet reconciliation including1. Subward- awardee advance reconciliation2. Travel and workshop advance reconciliations3. Petty cash reconciliations for all ten (10) regional offices4. Accounts payable reconciliation5. Monthly Expatriate allowance worksheet • Liaise with the Grant team to track expenditures of sub-grantees and to ensure timely submission of monthly Statement of Financial Reports (SFRs) to account for all advances disbursed to sub-grantees and to monitor compliance as per the grant requires.• Budget negotiating and preparation of Negotiation Memorandum of understanding• Review all procurement documentations in accordance with the FHI 360 and USAID procedures and policies before payment.• Preparation of monthly VAT Relief Purchase Order (VRPO) request and submit to USAID for tax exemptions on all purchases.• Monitor and reviews all petty cash expenses ledger with receipts and invoices submitted from the 10 regional offices of FHI 360.• Conduct unannounced cash count at FHI 360 Country Office in Accra as well as 10 regional offices of FHI 360 on periodic basis.• Prepare the monthly fixed assets update sheet for all additional and existing non-current assets and perform physical verification to ensure the authenticity of such assets. • Review and monitor all receivables including retirement of advances from sub-awardee’s, contractors and staff and to ensure the passing of appropriate journals into the accounting system and update of Sub-Award Tracking System (SAT).
