Supervisor – Office Services Hired as Office Services Coordinator and promoted to Supervisor in less than one year. Supervise all mail services operations to include timely and accurate handling, distribution, and processing of mail. Mail Operations • Supervise and coordinate activities of team member engaged in the distribution of incoming and outgoing mail.• Sort and distribute up to 200 pieces of incoming U.S. mail and 50 pieces of incoming UPS and FedEx packages daily.• Initiate change in inventory shipments to regional offices from daily to weekly for an annual savings of approximately $12,000 a year.• Process outgoing mail and UPS and FedEx packages; verify legibility of addresses, sufficiency of postage paid, accompanying documentation accuracy, and mail/parcel packaging.• Maintain accurate daily log of incoming mail and outgoing deliveries. • Track lost packages via UPS via online services; track late packages and request credit.• Monitor mailroom supplies inventory and order new supplies when needed.• Review UPS invoices for payment weekly noting incorrect addresses, inaccurate weight, etc. and send to supervisor for payment.Facilities Support • Manage inventory of office and kitchen supplies for 250+ employees. Handled or delegated small maintenance tasks.• Monitor kitchen and office supplies inventory and handle procurement tasks to ensure accurate supply level.• Maintain kitchen, break room,and copy center stocking and upkeep. • Provide assistance for office-wide meetings and events including chair/table set-up, providing beverages and utensils, clean-up, etc., ensuring employees’ needs are fulfilled by proper deadline.• Maintain kitchen and office equipment; contact vendor for repair when necessary.
