Facilities Coordinator
CurrentKey Responsibilities:• Manage partnerships with facilities vendors, adherence to service level agreements and drive cost savings• Respond to facilities maintenance requests and determine the resolution• Create and manage shipping accounts for users in five offices• Support conference room set-ups, office/cubicle moves and furniture repairs• Purchase office supplies, branded printed materials and office signage in five offices• Review invoice charges for accuracy, code appropriately as needed and process for payment• Assign and replace keys for offices, cubicles and secured areas• Manage copier fleet tier 1 support, tier 2 resolution and vendor agreement adherence in five offices• Perform various Mail Center activities such as sorting, metering, pickups and distribution• Inventory and purchase needed items to replenish staff break rooms• Lead fire/safety warden• Backup support for records/file room• Update emergency response plans for five offices• Take part in new employee orientation to present facilities services, office safety and support resourcesKey Accomplishments:• I was part of a select team of essential workers that reported to work every day in person during the Covid -19 Pandemic so 98% of staff were able to fully support business functions working from home• Implemented safety measures so staff could safely return to the office• Negotiated copier agreement resulting in reduced term from 60 to 48 month and a cost savings of $65,000 per year• Negotiated shipping agreement resulting in discounted rate savings of $140,000 from 2017 to 2020• Negotiated office supply discount savings of $5,938 - 2017, $6,360 - 2018, $8,175 - 2019 and $9,362 - 2020• Replaced outdated office TV services with HD solution while reducing cost by $2,400 yearly in 2019• Replaced outdated door access control system in Carmel and Cincinnati offices with highly advanced, secure solution while reducing yearly maintenance cost by 50% in 2020
