• First line of contact for supported brands • Manage Customer Relations• Quotations for orders and transportation for Local and Exports.• Manual order entries for dealer where necessary• Check stock locally and globally and Load purchase orders.• Dealer RFC (Discrepancy) handling.• Ensure all reports and updates are sent• Collaborate with aftermarket for solutions to ensure customer satisfaction and attend Local service market meetings to discuss challenges, deviation, changes and positive feedback.• Consult with Freight forwarders, Global Distribution centers and other departments and to ensure Service Level Agreements are met.• Evaluate dealer feedback (survey) results and find actions to improve customer service Back order recovery• Use the Volvo Global Purchasing Systems to ensure all DC orders have been placed with suppliers. (France, Sweden, Japan, USA, Singapore, India, Local)• Supply technical information where necessary (part numbers, specifications etc.)• Fully engage with CDC Emergency Services and Parts Services Order Desk Teams • Follow the Recovery Wheel to ensure emergency orders are recovered urgently.• Manage order cancellation with dealers and suppliers• Collaborate with Procurers and Transport to expedite parts within specified lead times and SLA’s.• Follow all ETA deviations and update ETA dates in the• Distribute individual ETA and backorder reports and update the recipient lists.• Report on Back order value monthly.• Establish and maintain a strong working relationship with Material Planning, suppliers, Purchasing, Procurement, etc.

• Manage Back order recovery and replenish Cabs• Prepare green files for record keeping (all inbound invoices, clearing instructions, customs and SAD500 documents). Ensure Archiving of all procurement documents is managed well.• Send clearing instructions to Freight Forwarders for Sea freight shipments• Oversee and manage inbound flow of goods in transit by air and sea freight to the Volvo Regional distribution center,• Analyse and update on inbound Lead time follow-up sheets.• Follow service provider performance against SOP and report to Customer Service Manager.• Capture Inbound invoices and reconcile against Statements for payment and report on Landed cost factor.• Prepare importing documents to be sent to accounts department for provision and the reserve bank for Payment. • Coordinate deliveries between Freight forwarders and the warehouse to ensure consistent flow of goods.• Ensure necessary yearly permits are up to date.• Daily Air and Sea freight Lead time and ETA reporting.• Manage Supplier Discrepancies and Process Credit notes• Expediting.• Local Procurement: Orders, Purchase proposals, MOQs and stock holding policy• Manage the kit building process (components availability)• Maintain Supplier data base and records• Arrange and attend Supplier meetings to supply issues
