Annual Giving Coordinator

This position included support for the Co-Executive Directors as well as coordinating processes and events for the department. Support for the Co-Executive Directors included managing calendars, tracking budgets, scheduling complex meeting series across multiple departments, and assisting with presentation and document preparation. I also maintained a significant role in the onboarding and training process. I collaborated with senior managers to redesign the onboarding process to more evenly distribute the tasks between the Coordinator and managers, freeing up time for managers to spend on more appropriate duties of their position. I also convened the Monthly Associates meeting designed to support the development of new employees. These meetings offered an opportunity to ask questions, cross train other associates, and offer advice. I provided information about the annual giving process, conducted trainings, and provided instruction in goal setting and performance review self-assessments. This position required resourceful event planning skills, as I was responsible for coordinating a variety of staff events on a limited budget. I planned catered meals (breakfast, lunch, and snack) for over 200 staff members during our giving days in the spring and fall and led a team of associates to handle collection of delivered food and set up / break down of buffets. I used my knowledge of Providence and the surrounding area to plan holiday celebrations and staff outings. I also had the privilege of coordinating the Brown Annual Giving Hospitality Suite during reunion and commencement weekend. The suite offered annual giving donors, volunteers, and other alumni a quiet space to relax, enjoy refreshments, browse our complimentary amenities, and sign the official guest book. In addition to the Hospitality Suite, I also interacted with volunteers during the Annual Giving Co-Chairs Meetings, All Volunteer Calls, and while coordinating the yearly Annual Fund Volunteer Awards.

This position allowed me to experience and observe many aspects of a nonprofit organization. My position included a wide variety of responsibilities in addition to daily support of the Executive Director, including training and development of staff, fundraising development tasks, event planning, and general operations. I had the opportunity to train the front desk receptionist and financial coordinator on the basic overview of the organization and administrative processes including invoicing, supply ordering, equipment needs and troubleshooting, and space management. My training duties also included assisting in the annual staff retreat planning by developing events to boost team morale and engagement. Maintaining development and donor data in Bloomerang was an integral part of this position. This included entering donations into the system, adding new donors, updating and modifying donor records, and running reports. The general operating duties that I engaged in as part of this position gave me a different insight into nonprofit management. I assisted in supervising the single facilities worker by receiving and triaging maintenance requests, working with the facilities worker to prioritize projects, and maintaining communication during the process to make sure deadlines were met. I also assisted in sourcing and purchasing supplies needed for projects. Additional general operating duties included submitting invoices for payment, authorizing credit card purchases, and purchasing and maintaining inventory of all IT equipment.

As the Senior Executive Assistant to the Chief Compliance and Ethics Officer I assisted the CCO and eight senior leaders and provided program development and management for 215 colleagues across seven U.S states. I worked closely with the CCO to develop his vision into actionable programs. Employee engagement included raising morale among employees a main goal. I developed an engagement plan centered on increased on-site and off-site volunteer opportunities throughout the footprint, development of new ways to recognize colleagues, and improved tracking of colleague milestones. I coordinated volunteer opportunities across Rhode Island and Massachusetts while supporting managers in other states coordinate opportunities for their employees. Creating more volunteer opportunities allowed us to exceeded the volunteer hours goal established by Citizens. In 2018 Compliance colleagues completed 2,127 volunteer hours and exceeded the goal in 2019 by almost 10%.Special projects focusing on organizational improvement included the creation of the Compliance Communications Plan. I built relationships with leaders to redesign the department intranet page, draft spotlight stories highlighting team accomplishments, and create opportunities for colleagues to be recognized. I spearheaded the new Compliance Partner Survey initiative at the request of the CCO. I designed and administered the survey and created a results report used to improve relationships with business partners and drive organizational effectiveness. These efforts led to an increased score on annual Partner Survey.I continued developing my HR skills by centralizing and implementing all aspects of Compliance colleague onboarding to reduce errors and delays. I served as a central point of contact for Compliance new hires and built relationships to solve new hire issues. As the department Training Designee I collaborated with managers to plan the training calendar and maintained assignments in the LMS.

Serving in this position allowed me the opportunity to apply my degree in Human Development and Family Studies, concentration in College Student Personnel. I managed approximately 50 peer subject tutors per year, led changes in center operations to improve delivery of services, and supported learning skills development for students through a variety of efforts. Management of the peer subject tutor program included recruiting, hiring, training, supervising, and evaluating tutors and student receptionists. I built relationships with professors, lecturers, and department heads to recruit students to serve as tutors who were academically successful and exhibited other characteristics that would allow them to excel in the position. I designed and delivered credit-bearing tutor training based on accrediting body standards combining active group problem solving, discussion, brainstorming, and classroom learning. I continued supporting the training of tutors by leading professional development sessions, assigning peer tutor mentors to newly hired tutors, and developing tutor-led training sessions for their fellow tutors. I undertook several initiatives to allow the center to run more efficiently. I improved the tutor hiring process by partnering with the Student Employment Office to offer a two-day job application event allowing applicants to apply and submit information to both departments at a central location where assistance was provided. I also redesigned the process for appointment intake due to high volume of visits (approximately 3,000 per year), and created policies and receptionist manuals to support the changes. The appointment process was further improved when I integrated the online scheduling platform and worked with IT to connect the program to the university data feed. This eliminated the need for manual information entries, reduced the time needed to book appointments, and improved the accuracy of student information in the scheduling system.
