CurrentThe Administrative Officer at FloridaWest will be responsible for a wide range of administrative and financial tasks. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Public Notices: Ensure meetings are publicly noticed 72 hours in advance. Board Packet both Drafts and Final copies. Coordinate meetings including with board, community members, and staff. Employee Handbook: Review and improve procedures. Funding Requests: Assist in submitting requests in March. Annual Reviews: Schedule and coordinate reviews, keep and forward copies. IT Coordination: Meet with Data Rev biannually for IT needs. Verizon: Handle phone renewals. BRACE Board: Serve on the board, become a certified emergency responder.Chair/President Meetings: Coordinate monthly meetings with CEO and the board chair/president.Birthdays/Anniversaries: Maintain a list, coordinate celebrations, Deposits: Handle mobile deposits and track dues. Parking: validations for the main office. Tech Park: Handle checks, city repairs, sign painting, landscaping, security during events, and hard copy pickups. Board Terms/Expirations: Track board members terms and nominations. Hub Central: Disperse all information. Facilities: Coordinate office needs, change water filter biannually, order supplies. Update Projects, Board meeting binders with all agreements and progress. Minutes: Take and edit minutes, have them signed and uploaded to the website. Annual Forms: Handle confidentiality for board and staff. Website Updates: Ensure minutes and leadership changes are uploaded. Board Meeting Agendas & Minutes: New Chair Onboarding: Check new chair’s preferences on communication, meetings, scheduling, and leadership. Sunshine Law: Ensure company compliance with laws. Board Member Committees: Handle volunteers and nominations for committees in July and August.
