We call it many things: meetings, retreats, roundtables, alliances, reunions, consortiums, symposiums, conventions, user groups, incentives, annuals, trade shows, tournaments, seminars, coalitions, councils, festivals, clubs, societies, and concerts. Why do we gather?I think one of our most admirable traits is our abilitiy to collaborate and share within our community of peers. These associations bring out the best in our civilized behavior. Being in service to bosses, spouse, children, and colleagues may be simple instinct or it could be the essence of life itself. As planners we create atmospheres for this necessary ritual. The setting has many requirements for success. Primitive meetings may have needed just a good topic like survival, a quorum of the clan, and then the planner made sure there was plenty of wood for the fire. Today, our ritualized meetings may have a few more dynamic requirements; equity, accessibility, safety, comfortability, affordability, inspiration, legality, convenience, sustainability, and ROI. Did I forget to mention the budget? I think each meeting ritual has goals, traditions, rhythms, and even a distinct personality like a person. A meeting, like a person, has pet peeves, plays favorites, and occasionally acts like a petulant child. Also, there are many stakeholders, C-Suite’ers, rank & file attendee, keynote speaker, VIPs, customers, sponsors, vendors, hosts, and board members. The meeting planner has to coordinate and mix these ingredients to create the perfect atmosphere for a meeting.My hope for my clients is a transcendent meeting. Here is the Webster-Merriam definition: “That which goes beyond, exceeding usual limits extending or surpassing”I want to be a part of that meeting.
