Account Payable • Accurately record daily invoices from other departments and suppliers into Netsuite system • Chase up receipts and compile the paper document in a chronological order into the storage cabinet. • Regularly reconcile vendors’ account (once a week for large vendors) and report to Accounts manager if there is any difference • Efficiently and carefully raise POs for Digital screens, cables and other consumables and send out to vendors upon approval • Convert POs into bill payment upon confirmation from warehouse and receipt them in • Complete employee expense report with invoices attached and pick out questionable invoices for Accounts manager’s review (such as transactions on weekends) • Coordinate with Accounts manager to do EOM closing off • Assist Accounts Manager, Financial controller and CFO with other accounting stuff • Prepare EOM A/P aging report for financial accountant’s review Account Receivable • Coordinate with Accounts receivable staff to review IDS contracts (Digital Signage Installation) and send to our financing partner for financial approval • Check clients’ basic financial situation through Creditorwatch and determine whether their financial status is favorable or not and report to CFO for decision • Confirm client’s payments against bank records and record payments into system • Check DA sign-off details against the client’s name, address and date, generate invoice and send settlement requests to our financing partner or our client • Set up payment dates for settled contracts and negotiate with clients about any changes in their banking detail and update them on our side • Chase up and save remittance into folder, update client status and regularly report to CFO for weekly settlement payments
