The primary function of this role is to act as the first point of contact when carers are referred to ourservices or when an inquiry is made via our website. This role also involves administrative tasks and supporting our customers, volunteers, and staff.Key Responsibilities:● Maintaining a positive, empathetic and professional attitude towards carers at all times● Managing incoming queue of inquiries using our CRM/booking system (HubSpot)● Ensuring the rostering for volunteers is balanced, timely and accurate● Responding to and appropriately managing volunteer queries in regards to their rosters● Scheduling appointments and coordinate the guide group training sessions (GSGs)● Scheduling carer appointments using the booking system● Providing sound technical support for customers and volunteers, navigating telephone andvideo conferencing tools● Ensuring all new guides have been set up with the relevant technology equipmentAdhering to set work instructions and procedures● Maintaining accurate and timely record keeping and documentation including privacycompliance related documentation● Bring customer insights back to the organisationProviding weekly reporting and an overview of activity back to the team

Daily responsibilities consisted of managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas, compiling documents for meetings, data entry, spread- sheets, reconciling invoices, tending to phone calls, liaising with the call centre, Doctors and hospitals, process cheques and payments and reporting to senior management.

Reporting to the Marketing and Managing Directors. In addition to my EA duties at BT financial, I was also responsible for organising in-house work conferences and corporate events, greeting clients, adhering to deadlines, organising national and international conferences for staff, clients and senior management, industry retreats and in-house training. I was also tasked to tabulate sales rep profit /expenditure spreadsheets for management on a weekly and month-end basis.
