Current Manage diaries of CEO and MD incl. arranging of meetings, remind CEO/MD of upcoming meetings. screening telephone calls, enquiries and requests, and handling them when appropriate Meetings provide directions to meetings; prepare company profile of companies to be visited etc. Meeting and greeting visitors at all levels of seniority. taking minutes liaising with clients, suppliers and other staff; Create and maintain filing system both electronically and manually Arrange travel, incl. booking of flights, accommodation, car hire etc. Preparing PowerPoint presentations Organize and document Board- and Management meetings, follow-up on agreed action items Assist with spreadsheets for budgets and other financial reports Office Management: typing and filing Maintaining address books, incl. capturing of contact details Extensive liaising with customers as well as other departments Receiving of mails, calls and faxes for MD and CEO, and handle them with the highest Professional level Identify all possible ways to relief CEO and MD of as many tasks as possible Ensuring follow-up of requests, messages and information dissemination Typing out certificates Intense Research Answering customer’s inquiries via telephone and email Management and ordering of Stationery Managing correspondence and minute taking Data capturing House Keeping Manager Manage the daily activities of the house keeping department to include appropriate cleaning of all offices, concourses, seating areas, restrooms and canteen. Daily supervision of the housekeeping staff. Purchase, re-order and maintain house keeping supplies and inventory. Conduct pre-event inspections of all rooms, prior opening for every event held at the arena / Conference rooms. Ensure the proper maintenance of all equipment; make arrangements for repair and /or replacement of used and damaged equipment.
