As a staff accountant in the University of Portland's Office of the Controller, I not only process transactions, I am a grant specialist and a budget analyst. Processing daily transactions includes reviewing payment requests for the appropriate accounting and ensuring that transactions are in their correct budget. As a grant specialist, I review budgets prior to a faculty member or employee submitting a grant to an agency and then assist the principal investigator with managing their expenses. I work with both private grants and federal grants. For my role in budget analysis, I assist with Budget Director with preparing the next fiscal year's budget and with reconciling budget items during the current fiscal year. I have been most proud of using our current software to expand and further develop our grants tracking process. Fortunately, the University has faculty that are dedicated to teaching and to performing research which means that I have a full plate with grants. This has been a wonderful challenge that pushed me to dig deeper into my knowledge of systems and process flows.
Budget Coordinator
As a Budget Coordinator in the College of Arts and Sciences, my time has been spent working on the College's budget for the next fiscal year, monitoring the budget for the current fiscal year, and assisting faculty with grant management. I have truly enjoyed working one-on-one with the Dean of the College of Arts and Sciences, Department Chairs, and faculty members. Each person works tirelessly to promote the College's mission while teaching and mentoring students. It has been my role to make their lives a little easier by assisting with their reimbursements or payment requests, helping monitor their grant expenses, and in some cases helping them navigate the University's various offices to get new projects underway.
Project Analyst For The Healthcare Division
I typically manage several projects at once that related to both financial and operational areas of the Healthcare Division. I support the VP of Operations and Finance by providing monthly account reconciliations, monthly revenue analysis, and forecasting schedules for the coming months. I provide the most up to date information available, and accompany it with related financial projections. I have had the changes to manage several project in my time with the Healthcare Division. The most recent project was overseeing the migration of the entire division from Windows XP to Windows 7. I was responsible for scheduling the transfers across the US, ensuring the most up to date hardware was available, and providing training documentation to the users. Another project I managed was the implementation of a credit monitoring database. I worked with a systems engineer to design, test, and implement the database. As the new database was implemented I held several training sessions for the division and wrote a comprehensive SOP. While working with the Healthcare Division, I was instrumental in helping Operations Department pass an internal audit. I performed internal reviews on a daily, weekly, and monthly basis in the months leading up to the audit. I both wrote and reviewed over 10 SOP. I provided flowcharts of all of the internal and external processes for Healthcare. This level of attentiveness played a great roll in passing the audit.
Client Administration Representative
The primary goal of this position was data entry. I joined the team after all the job functions of a closed office were transferred to the Portland Office. I hit the ground running since I was handed the task of implementing a system I had no experience. I am proud to say that in this sink or swim scenario, I swam better than ever before. Not only did I discover the correct way to use the new system, but I then wrote several SOPs for others also using the same system. I also used my accounting background to determine that the new accounting system was making incorrect journal entries. I worked directly with the Accounting Department to correct these entries, and develop a process to avoid them in the future.On a day to day basis, I also monitored the department's shared email box, made updates to various accounting systems, and assisted in trainings as needed.
