Executive Assistant
Current▪ First point of contact, “gate keeper” to Deputy Chief Information Officer and the Deputy Chief Talent Officer, for internal Executive Management, staff, outside organizations and vendors regarding meeting availability, and a myriad of information requests.▪ Maintain an extremely complex calendar for both the Deputy Chief Information Officer and the Deputy Chief Talent Officer, ensuring each calendar is maintained and updated in a timely manner, planned, and scheduled meetings, conferences, travel arrangements and processed expense reports accordingly.▪ Proactively conserve the time and enhance the productivity of the Deputy Chief Information Officer and the Deputy Chief Talent Officer by reading, researching, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics for her review and information, of any emails that I am cc’d on.▪ Complete projects and special assignments by establishing clear objectives; outlining strategies, determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving, and making necessary adjustments to plans.▪ Prioritize conflicting needs; handling matters expeditiously, proactively, and following through on projects to successful completion meeting deadline pressures, while adhering to strict confidentiality standards when required.▪ Work closely with the Executive Assistant to CEO and the Executive Office Executive Assistants to facilitate regular communication, collaborate on internal/external events, distributed information, draft agendas and scheduled meetings.▪ Liaison between the DM/IT Departments and Contracts and Procurement to include, but not limited to, preparing the documentation to ensure the correct and timely submission of new, or amended, vendor contracts, invoices and payment instruments, tracking, documenting, follow up, research, problem solving and communication to internal departments and the vendor in question.
