• Responsible for maintaining and reconciling all financial records, at least semi-monthly: payables, receivables, bank accounts, investment accounts, trust accounts, etc. • Maintains internal cash flow spreadsheets with expense projections and actual, as well as continuously monitors the cash flow needs. • Assists with grant administration including: working with Scientific Advisors, fielding questions from researchers, updating internal spreadsheets, gathering information for Board approval, as well as disbursements of funding. • Works closely with accountants and legal representatives to ensure the Foundation is in compliance with IRS 501(c)(3) non-profit guidelines.• Works closely with management to execute Investment Advisory Group meetings between 4-6 times per year. Coordinates quarterly reports and packets with financial institution, as well as provides updates to standard internal reports for review. • Works closely with accountant to prepare all tax information for the accountant to prepare tax return(s).• Works closely with management to coordinate all aspects of Board of Trustees meetings: communications, preparation and distribution of Board packets, travel arrangements, event management and records and writes minute’s.• Ensures that various insurance policies and benefit programs are kept up-to-date and premiums are paid.• Maintain inventory of office supplies and equipment, order supplies, as well as creates and maintain files. Performs other similar or related duties needed or requested.
